Taking a day off...

You get up in the morning and feel like not going to office; you may not be feeling well or sudden work at home has come up or you need to do baby siting etc.

But wait you have those important meetings to attend or some appointments in office. How to manage that? How do you inform people about you taking an off and meetings are cancelled?

Well open your laptop cancel all calendar items or email required people about you taking an off for the day.

Wait! There is an easy way out.

  1. Open the iO3: Automatic Replies app
  2. Turn on status for “Set automatic replies”
  3. Leave the period unchecked as by default it is one day
  4. Type in the message and tap “Ok”

And you are done.

  1. Automatic Replies are set for email account
  2. All the calendar items are managed, with meetings cancelled and appointments declined with the body message same as the one used for Automatic Replies.

Additionally, you can do it for multiple business account in one go… and you can also enable the “set reminder” feature so next day when you are back to work you can review the meetings/appointments cancelled and set them up again as per your convenience.

On vacation for longer duration…

You have a planned vacation say for 2 weeks or more. During the vacation you need ensure you have cleared up your calendar.

Now you need to open the outlook and manually decline/cancel the items in the calendar

An easy way out.

  1. Open the iO3: Automatic Replies app
  2. Turn on status for “Set automatic replies”
  3. Set the OOO Period from start to end
  4. Type in the message and tap “Ok”

And you are done.

  1. Automatic Replies are set for email account
  2. All the calendar items occurring between the start and end dates are managed, with meetings cancelled and appointments declined with the body message same as the one used for Automatic Replies.

On business trip…

You are travelling for a business trip for 2 weeks or more. During this trip you need to cancel the internal meetings (meeting within the org). However, your calendar has both internal meetings and appointments with customer.

Now you need to open the outlook and manually check for internal meetings and either decline/cancel the items in the calendar. While you want to make sure the external/business meetings stay as it is.

An easy way out.

  1. Open the iO3: Automatic Replies app
  2. Turn on status for “Set automatic replies”
  3. Set the OOO Period from start to end
  4. Type in the message and tap “Ok”
  5. A new screen will open, listing all your meetings. You can review the meetings and click the checkbox for the business meetings (meetings/appointments you need to keep in the calendar.
  6. Again tap on the “Ok” button.

Note: For the app to work with your calendar items, you need to set the preferences in the App Configurations. Also enable the option to show the calendar items. This will force the app to show the list of items for user to review before acting on the same. Please visit Configurations for details on tuning ON/OFF app features.

And you are done.

  1. Automatic Replies are set for email account
